Responsibilities
1) Budget
Finance - would recommend that we take all registrations online if we can ahead of time to reduce admin - consder using Eventbrite.com as a low cost option.
Where people do not have a credit card then cheque payments to one person
2) Venue and Facilities
LeedsMet? Its Staff Development Week at Leeds Met, so a lot of their venues are booked. I will continue to investigate with the conference team and update when I have more news (Liz).
3) Web Presence
Krishna happy to write content for the event - Update from Krishna 9/7 - though on reading Helen and Liz's wesite as you seem to be experts in copy writing you may wish to do this?
Krishna also has a shopping cart should we need to use it
Helen - that's useful! Also happy to produce web-based materials/forums
We should have a conference blog that we all contribute to, starting asap, plus our own tags like nlabwomen had
We have got www.worktheweb.co.uk if we want to use it? (Liz)
4) Marketing and Publicity
Development of logo and "banners" - TBC - can we get a sponsor for this (see later comment re printers etc.) (Liz)
Krishna will promote in her newsletter, blogs, podcasts and in all online and offline communities and networks she is part of
Helen & Liz wll also promote wherever they can
5) Sponsorship Packs
Krishna happy to draft copy Great - I'd be glad to take to Leeds business link, and Chamber? (liz)
thanks - Helen
6) Sponsors
Microsoft?
7) Speakers
Speakers to be asked for title of event, bio and photograph
Speakers to be asked for presentations to go on website afterwards - get the off them onto a usb stick on the day I've found is the best way! Krishna's response - not all speakers want to do this - we should however have all their presentations for the delegate packs and can request copies for after the event - sometime people want to protect their IP and we may need to consider these being on a password proteted page and one where the robots won't follow
Pre-event podcasts or teleseminars to be considered to promote the conference - Krishna happy to facilitate brilliant! (liz)
Steve parks has responded favourably to an initial email - www.flying-startups.com (and author/entrepreneur) (liz) - He normall y charges £1500 but has asked me to "sell him the fun" as he's free that day and based in York, so could do it cheaper.
Krishna's response - I think we should agree if we are planning to pay speakers. Have we agreed to do so and i missed that - if so sorry. We should create a list of speakers we would like to attract and the rationale for them against each area on the agenda. We might even want a call for speakers available (this is what we typically use for the events we run for various organisations). As an example some of the criterias we are using for a global event are that the speaker is an author and also has a major list so that they can help us attract delegates.
8) Literature - Pre, Post and during
Can we get a sponsor to cover cost of reprographics - this sounds like a great idea - one of my staff has just come out of the Leeds printing industry so has loads of contacts, shall I ask her to ask around for what people may be willing to do? (liz)
Common branded template for powerpoint to be used by all speakers - Helen's response - I don't like this - it inhibits individual creativity - give them a logo or bottom strip to put on by all means but don't restrict them to a template please! (We can have a template for those who would like one)
Krishna's response - I guess I am going to say that the event is well branded as that's what my business is all about. my intent was not to stifle creativity - just to reinforce the brand of the event we are creating. All I was suggesting is that they have a master slide with the logo.
